Next G Cloud Technologies S.r.l. (“Next G Cloud”, “we”, “us”) is committed to protecting the personal data of everyone who interacts with us and with this website. This Privacy Policy explains what personal data we collect, why and how we process it, who we share it with, how long we keep it, and the rights you have under Regulation (EU) 2016/679 (the “GDPR”) and applicable Italian data-protection law.

2. What personal data we process

Depending on how you interact with us, we may process the following categories of personal data:

  • Navigation and technical data — data automatically generated when you visit the website (such as IP address, browser type, pages viewed and access times), together with cookies and similar technologies.
  • Contact and enquiry data — the information you provide when you fill in a contact form or write to us (e.g. name, email address, telephone number and the content of your message).
  • Newsletter and marketing data — the email address and any details you provide when you subscribe to our newsletter or communications.
  • Event and service registration data — the information you provide to register for our events, webinars or services.
  • Recruitment data — the information contained in your application and CV (e.g. name, contact details, professional experience and any other information you choose to share) when you apply for a position with us.

We ask you not to provide special categories of data (such as data revealing health, political opinions or religious beliefs) unless strictly necessary and expressly requested.

3. Purposes and legal bases of processing

We process your personal data only for specified, explicit and legitimate purposes, on the following legal bases (Article 6 GDPR):

  • To respond to your requests and enquiries sent through our contact forms or by email — legal basis: the performance of pre-contractual measures taken at your request and/or our legitimate interest in replying to you (Art. 6(1)(b) and (f)).
  • To send our newsletter and marketing communications, where you have subscribed — legal basis: your consent (Art. 6(1)(a)), which you may withdraw at any time.
  • To manage registrations to our events, webinars and services — legal basis: the performance of a contract or of pre-contractual measures (Art. 6(1)(b)).
  • To manage job applications and our personnel-selection process, including evaluating your CV and application — legal basis: pre-contractual measures taken at your request and, where applicable, your consent (Art. 6(1)(b) and (a)).
  • To ensure the security, availability and correct functioning of the website — legal basis: our legitimate interest (Art. 6(1)(f)).
  • To comply with legal, accounting and tax obligations — legal basis: compliance with a legal obligation to which we are subject (Art. 6(1)(c)).

4. How we process and protect your data

Your personal data is processed lawfully, fairly and transparently, using paper and electronic tools, and is stored on systems located within the European Union. In accordance with the accountability and security obligations of the GDPR (in particular Articles 5, 24, 30 and 32), we apply appropriate technical and organisational measures — including access limited, by role, to authorised personnel (such as our HR team and the relevant decision-makers) — to protect your data against unauthorised access, loss, alteration or disclosure, and we maintain an up-to-date record of our processing activities.

5. Who we share your data with

Your personal data may be made accessible to:

  • our authorised staff, bound by confidentiality and instructed on the correct processing of data;
  • trusted external providers appointed as data processors under Article 28 GDPR — for example providers of hosting and IT-maintenance services and of email and newsletter-delivery services — who act on our instructions and operate within the European Union;
  • public authorities and bodies, where disclosure is required by law.

We do not sell your personal data, and we do not disclose it for third-party marketing purposes.

6. How long we keep your data

  • Recruitment and application data: kept for up to 12 months from the conclusion of the relevant selection process, after which it is deleted, unless we are required to keep it to comply with a legal obligation.
  • Enquiry and communication data: kept for the time necessary to handle your request and for the subsequent period required to comply with legal obligations or to establish, exercise or defend legal claims.
  • Newsletter data: kept until you withdraw your consent or unsubscribe.

In all cases, we keep your data only for as long as necessary for the purposes described above and in line with applicable retention obligations.

7. Your rights

Under Articles 15 to 22 GDPR, you have the right to request access to your personal data and its rectification or erasure, the restriction of or objection to processing, and data portability. Where processing is based on consent, you may withdraw it at any time, without affecting the lawfulness of processing carried out before withdrawal.

To exercise your rights, write to privacy@nextgcloud.com. You also have the right to lodge a complaint with the Italian Supervisory Authority — Garante per la protezione dei dati personali (www.garanteprivacy.it) — if you believe that the processing of your data infringes the GDPR.

8. Is the provision of data mandatory?

Providing your personal data is generally optional. However, failing to provide data marked as required (for example your contact details or, for applications, your CV) may make it impossible for us to respond to your request, provide the requested service or consider your application.

9. Automated decision-making

We do not carry out solely automated decision-making, including profiling, that produces legal effects concerning you or similarly significantly affects you. Applications and enquiries are reviewed by our staff.

10. Cookies

This website uses technical cookies necessary for its operation and, subject to your consent, analytics and third-party cookies. You can review and manage your preferences at any time through the cookie banner or your browser settings.

11. Changes to this Policy

We may update this Privacy Policy from time to time to reflect changes in our processing activities or in applicable law. The current version is always available on this page, together with the date of its latest update.
